Send documents by email
Forward to files@closima.com and Closima files the attachments on the right transaction.
files@closima.com
Forward any email with documents to files@closima.com. Closima works out whose it is from the sender: your own sign-in email always works, and so do your agents' addresses. Agents can send documents there directly.
Closima then looks for the transaction. It matches on the escrow number, or on the street number and name, checking the subject, then the email body, then the text inside the PDFs.
- If it finds the transaction, the documents are filed there, and anything they prove is checked off. An earnest money receipt, for example, completes Earnest money deposited.
- If it doesn't, the email waits in your Inbox for you to file with one click.
- If it's a signed purchase agreement for a property you don't have yet, the Inbox offers to start the transaction from it.
The reply you get
When you send something to files@ yourself, Closima replies with what it did: filed to an address, received, already on file, or no documents found, with a link to open the transaction. Agents who send to files@ get a short "your transaction coordinator has them" reply. Mail that one of your rules forwarded never gets a reply, so the original sender never hears from Closima.
What can be sent
PDF, Word, Excel and images (PNG, JPG, HEIC), up to 25 MB each. Zip files are unpacked. Small images in email signatures and logos are skipped.
