Have Gmail forward documents for you
One Gmail filter sends every email with an attachment to Closima, so you stop forwarding by hand.
Closima doesn't ask for access to your Gmail. Instead, Gmail forwards a copy of the emails that matter, and Closima keeps what's about a transaction and ignores the rest.
Your rules address
Rules use their own address, not files@. Find it in Settings → Email-in, under "Set up automatic forwarding from Gmail or Outlook". It looks like yourname@in.closima.com.
Why a separate address: a forwarding rule passes emails along with the original sender on them, and Closima wouldn't know they came from you. Your rules address tells Closima the mail is yours. Use it only for rules. For anything you forward by hand, keep using files@closima.com.
Step 1: add the forwarding address in Gmail
- In Gmail, click the gear, then See all settings.
- Open Forwarding and POP/IMAP and click Add a forwarding address.
- Paste your rules address, then Next and Proceed.
Gmail sends a confirmation to that address. It shows up at the top of your Closima Inbox as "Gmail is asking you to confirm forwarding". Click Confirm in Gmail, or copy the code and enter it back in Gmail's settings and click Verify. You don't need to turn on Gmail's "Forward a copy of incoming mail" option. The filter below does the forwarding.
Step 2: create the filter
- In the Gmail search bar, open the search options.
- Check Has attachment, then click Create filter.
- Check Forward it to, choose your rules address, and click Create filter.
Add a second filter the same way for your broker's system notices, with transactiondesk.com OR lwolf.com OR authentisign.com in the From box. Those notices often have no attachment, but a broker rejection is something you want to see.
What Closima keeps
With Watch my forwarded mail on (Settings → Email-in), Closima keeps email that mentions one of your transactions or carries a contract, addendum, receipt or report, and anything from people it knows: your agents, the contacts on your transactions, and your Always allowed list. Newsletters and other unrelated mail are quietly dropped. Turn the switch off and everything sent to your rules address is ignored, while files@ keeps working.
