Documents: what's in and what's still needed

Each transaction keeps a list of the documents it needs and checks them off as they arrive.

The Documents card on a transaction has three groups: the Contract, what's Needed, and Other files. The count at the top says how many needed documents are in.

The needed list

It depends on the transaction. A typical financed buyer-side deal needs the signed purchase agreement, earnest money receipt, seller's disclosures (SRPD), preliminary title report, home inspection report, appraisal report, loan approval, final settlement statement and recorded deed, plus the HOA resale package and home warranty if they apply. Each has a due date from the deadlines.

Getting a document in

  • Email it, and Closima files it to the right slot when it recognizes it.
  • Click Upload on the item to put a file straight into that slot.
  • Click Request to get a drafted email asking for it.

A request goes to whoever usually has the document. Escrow or title for the earnest money receipt, preliminary title, HOA package, settlement statement and deed. The lender for the appraisal and loan approval. The listing agent for seller's disclosures on a buyer-side deal. Your agent for the rest, and your agent is copied when it goes to someone else.

The ⋯ menu

  • Not needed takes it off the count. Needed puts it back.
  • It's this document links a file that's already on the transaction.
  • Replace with another file, Reset, and Remove from the list for items you added.

Click Add for something the list doesn't have, like a solar lease transfer, with an optional due date.

Checked off for you

Some documents complete work on arrival. An earnest money receipt completes Earnest money deposited and the task to confirm it with title. An HOA resale package completes the HOA task. If you delete or move that document, the items reopen.
